Privacy Policy

Effective August 27, 2026

In short HaulFuse is business software for trucking companies, pilot-car and escort companies, independent pilot-car operators, drivers, dispatchers, and other authorized professionals involved in oversize and overweight moves. We collect the account, location, job, permit, and operational information needed to provide the service. Job information may be shared with authorized people and organizations participating in the same load or convoy, and with service providers that operate HaulFuse. We never sell personal information or share it with advertisers.

Who this policy covers

HaulFuse is operated by Rovira Technology Group, LLC, based in Charlotte, North Carolina. This policy applies to the HaulFuse mobile and web application, to haulfuse.app, and to haulfuseapp.com. It covers every person who uses HaulFuse — whether under a trucking or pilot-car company's account (owners, dispatchers, supervisors, truck drivers, and pilot car operators), or as an independent pilot car operator with your own individual HaulFuse Pilot Marketplace account, not tied to any single company.

HaulFuse is business software for commercial trucking and pilot-car escort operations. It is not directed at, and is not intended to be used by, anyone under 18.

Information we collect

Account and profile information

When you create an account, or when an organization creates or manages a crew account for you, we may collect your name, preferred name or call sign, email, phone number, employee or contractor ID, home base or operating area, organization affiliation, role (driver, pilot car, dispatcher, supervisor, or owner), and, for pilot car operators, your escort capabilities (lead, high pole, chase, etc.).

Location information

HaulFuse records GPS location in two specific situations, and never continuously in the background outside of them:

You'll see an in-app notice describing this before location tracking starts, and you can decline it — though mileage tracking naturally won't run if you do.

Photos and documents

Checklist, clearance, and safety photos you attach are uploaded to a private, access-controlled storage bucket. Permit documents you upload are stored the same way, and can optionally be processed by an AI-assisted reading feature that extracts the state, dates, dimensions, and route from the file so you don't have to type them in by hand. That processing is performed by Anthropic (the Claude API) — the permit file and its extracted contents are sent to Anthropic solely to perform this reading, and you review and confirm everything it reads before it's saved.

Pilot Marketplace listings

If you're an independent pilot car operator and choose to list yourself in the HaulFuse Pilot Marketplace, you control whether that listing is visible to other companies at all — it's off unless you turn it on. When it's on, trucking and pilot-car companies searching for coverage in your listed states can see your name, capabilities, and the contact information you provide. Your job history, other companies you've worked with, and anything outside your listing itself stay private. If a company posts a specific job and you accept it, you're then linked to that company the same way any of their own crew would be, and gain access to that job's permits and route detail for as long as you're assigned to it.

Payment information

Business and company billing may be handled by Stripe. Individual mobile subscriptions may also be offered through the applicable app store, including Apple on iOS. HaulFuse does not receive or store complete payment-card numbers. The payment provider sends back only the information needed to administer the subscription, such as plan, subscription status, billing dates, and transaction or customer identifiers.

Usage and device information

We keep an audit log of key actions taken in an organization or job — crew changes, permit updates, checklist submissions, and similar events — tied to the person and time they happened where needed for the operating record. If you enable push notifications, we store a device token so alerts can reach you.

Feedback, bug reports, and tester surveys

If you send feedback, report a bug, or complete a tester survey, we store what you wrote along with your account and organization, your role, the device type and app version you were using, and the date and time. That context is what makes a report actionable — it tells us where to look. You choose whether we may contact you about it; if you decline, we still keep and act on the report itself. Screenshots are stored only if you choose to attach one.

Referral and Founding Member program information

If you use the referral program, we store your referral code, which accounts signed up using it, whether those accounts reached the paid milestone that qualifies a reward, and the credits or free months earned as a result. A person who refers you can see that you signed up and whether your referral has qualified, along with your name and company name — they do not see your contact details, your billing information, your jobs, or anything else in your account. Founding Member status records which spot number an account holds and when the associated discount was applied.

Location while sharing availability

Independent pilots may opt in to periodic location check-ins so nearby job postings can reach them. This is off unless you turn it on, it runs only while you're marked available and not already on a job, and it can be turned off at any time. Other users never see your precise coordinates — only an approximate state-level indication of where you currently are, and only while your recent check-in is still current. This is separate from GPS mileage tracking during an active job, which is described above.

How we use this information

Who we share it with

HaulFuse is designed so authorized people can work together on the same load. Information associated with a job may therefore be visible to authorized users participating in that job, including users who work for different organizations. For example, a trucking company may assign an independent pilot-car operator or a pilot-car company to a load. Those assigned users may receive the job information reasonably needed to perform the move, such as crew assignments, pickup and destination details, permit information, load dimensions, route details, job status, and safety or incident information. Participation in the same job does not give a user unrestricted access to another organization's unrelated jobs or account.

We also share information with service providers that operate HaulFuse, and only as needed for their services:

We do not sell your information, and we do not share it with advertisers.

How long we keep it

We keep information for as long as reasonably necessary to provide HaulFuse, maintain legitimate business and safety records, meet legal obligations, resolve disputes, and protect the service.

When a crew member is removed from an organization, their access can be deactivated while historical job and safety records remain with the organization. See Account Deletion below for how to delete your own account entirely.

Account Deletion

To request deletion of your HaulFuse account, open the HaulFuse app, go to Account settings, and select Delete My Account.

You'll be given two options:

What gets deleted: your account credentials and profile information (name, email, phone, photo) are permanently deleted. Direct personal identifiers are deleted or de-identified from retained operational records wherever the identifying information itself isn't required to be kept.

What's retained, and why: certain historical business, safety, billing, fraud-prevention, or legally required records may be kept for the period reasonably necessary for those purposes — for example, a completed safety checklist remains part of a company's permanent operating record even after the person who filled it out deletes their own account, with their personal identifying link removed.

Security

Data is transmitted over encrypted connections. Organization data is isolated at the database level so unrelated organizations cannot access one another's private records. Limited job information can be shared across organizations only when users are authorized to participate in the same load or convoy. Photo and permit storage is private by default and is accessible only through authenticated access or short-lived signed links generated for authorized users.

If we make a material change to how we handle your information, we'll update the effective date above and, where appropriate, notify company owners directly.
